Details of the 6 Steps of Award Management
- Evaluate travel data and project savings – In order to project company savings from the retention of employee frequent flyer miles and points, TravelWare requests that your company provide air travel data for a 12-month period of time. TravelWare then uses that data to calculate the miles and points that would have been earned in each travelers’ account(s), sets estimated target awards (and value) for each account and project savings and recommendations.
- Decide whether to move forward – Once your company decides to move forward, TravelWare will provide an agreement that outlines the terms of our service – and together we will finalize the terms of our agreement.
- Establish and implement procedures – TravelWare works hand-in-hand with the appropriate individuals at your company and/or travel-booking center to establish the processes and procedures necessary to implement the TravelWare service.
- Connect to client’s travel booking center – By connecting to the travel-booking center, TravelWare is able to view all company reservations – and to use its technology to optimally process each reservation with respect to earning, managing, using and reporting on each element of your company’s award management program.
- Replace tickets that provide optimal results – Based on the company’s objectives, TravelWare will maintain optimal inventory levels for each of the company point programs – with the purpose being to use award inventory for tickets that provide the greatest financial benefit for the company.
- Periodically evaluate program’s success – An executive summary, provided to the company’s top management, is prepared and presented by TravelWare – and can either be provided on-line or in person at the company’s location. This summary is usually presented on a quarterly basis, but can be more or less frequent based company management preferences. The purpose of the executive summary is to provide a summary of the results of the program and to make additional recommendations on how to enhance the program – along with the pros and cons and projected savings for each recommendation.
How is TravelWare different from my travel agency?
TravelWare specializes in reducing the cost of the company's most expensive travel. Although many companies may only have a small number of these tickets, this small number of tickets may represent a relatively large portion of your company's airline travel costs. TravelWare's technology is specifically designed to assist in targeting premium priced travel purchases in an effort to save significant amounts of the company's travel costs. Alternatively, a travel agency has a much broader role than TravelWare. The travel agency attempts to provide the best prices and schedules within the context of the company's preferred carriers, but it must perform all of these functions in a timely manner and with optimal service. The strategies, technologies and discounts used by TravelWare allow us to maintain a single, specialized focus – to reduce the price of the company's most expensive travel costs. In addition, TravelWare is different from the travel agency in that our fee is entirely performance based. We are paid a portion of the savings we achieve for the company. We will only offer our services to a company if we believe that the savings will justify the effort – ensuring that our interests remain truly aligned with that of our clients.
